Executive Assistant to National Executive Director - Shalva Canada
Position Overview
Canadian Friends of Shalva is dedicated to supporting Shalva, the Israel Association for the
Care and Inclusion of Persons with Disabilities, in their mission to provide transformative
care and promote inclusivity. As the Executive Assistant to the National Executive Director
at Canadian Friends of Shalva, you will play a crucial role in overseeing and coordinating
the administrative functions of the organization. You will work closely with the National
Executive Director and other members of the team to ensure smooth operations, efficient
communication, and effective support for the organization’s mission and goals.
Key Responsibilities
- Provide comprehensive administrative support to the National Executive Director, managing day-to-day activities and ensuring efficient workflow.
- Manage the Executive Director's calendar, schedule appointments, and coordinate meetings, both virtual and in-person.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Provide administrative support, including filing, inputting electronic data/information, and preparing documents.
- Collaborate and work with global oices of Shalva to support international initiatives.
- Process donations and prepare acknowledgement letters and other correspondence in a timely and accurate manner.
- Track donations in the database and issue corresponding tax receipts.
- Create fundraising reports and other database reports as needed for analysis and decision-making.
- Manage Shalva database through Salesforce CRM software, ensuring data integrity and accuracy.
- Coordinate production and mailing of annual campaigns and appeal letters.
- Handle event logistics, organization, follow-up, and documentation, ensuring successful execution of fundraising and awareness events.
- Recruit and coordinate volunteers for various events and campaigns, fostering a positive and engaged volunteer community.
- Prepare information for donors, events, and meetings, including briefing materials and presentations.
- Procure supplies for oice as needed.
- Attend board and volunteer meetings and prepare meeting minutes
- Prepare documentation for Annual General Meetings
- Manage banking operations for the organization, including overseeing accounts, transactions, and financial records.
- Serve as a liaison with the external accounting firm for the preparation of the annual audit and financial statements, ensuring accuracy and compliance.
